Who we are

Tuevia is software that academies and individual instructors use to run their teaching: students, classes, timetables, attendance, coursework and fees. The academy is the owner of the information it puts in. We hold it on their behalf and act on their instructions.

What is kept

About a student: name, phone, email, a parent's name and phone, gender, date of birth, notes the academy writes, and any extra fields the academy defines for itself. About their studying: which classes they are in, attendance, work handed in, marks and certificates. About money: fee agreements, payment schedules and payments recorded against them.

About the people who run the academy: name, email, phone, role and what they are permitted to do. Files an academy uploads — worksheets, photographs, certificate designs — are kept as files.

We do not ask for or store card numbers. When payment is taken online it is taken by the payment provider, and we are told only that it succeeded.

Where it is kept

On Microsoft Azure, in the South Africa North region. Files are kept in Azure Blob Storage in the same region. Nothing is copied to another region.

Who else sees it

Microsoft (Azure) hosts the servers, the database and the files.

Google is sent small amounts of data by two features, and only those two. When an academy imports a spreadsheet of students, the column headings and up to ten sample rows are sent to Google's Gemini so the columns can be matched to the right fields — those rows contain real student details. When an academy asks for a sign-in name to be suggested for a student, that student's name is sent so it can be written in Latin letters. Both are single requests. Nothing is sent for training, and no other feature sends personal data anywhere.

Zoho delivers our email. A payment provider handles subscription payments when an academy pays us.

We do not sell anything to anybody, and we do not use an academy's data to advertise.

Students, and children

A student's information is entered by their academy, not by us. Many students are children. We treat everything about a student as belonging to them and to the adults responsible for them, and it is never shown outside the academy that entered it.

A certificate is the one exception, and only when an academy issues one: it can then be checked at a link the holder may share, which shows the name, the course, the academy and the date, and nothing else. An academy can withdraw a certificate at any time, and the link then says so.

How long

For as long as the academy keeps it. Deleting a record in Tuevia removes it from the academy's view immediately and from our systems shortly after. When an academy leaves, its data is deleted on request, and backups age out within thirty days.

Your rights

If you are a student, a parent, or a member of staff at an academy, ask that academy first — they hold the account and can correct or delete your record directly. If they cannot help, write to us and we will.

You may ask what we hold about you, ask for it to be corrected, or ask for it to be deleted.

Changes

If this policy changes in a way that affects what we do with your information, we will say so on this page and date it.
